Job Description Job Description Position Summary: The Property
Administrator supports daily operations of commercial or
residential properties, ensuring smooth coordination between
tenants, vendors, and property management. This role is responsible
for administrative support, lease coordination, maintenance
scheduling, and accurate financial/operational record?keeping. Key
Responsibilities Tenant & Customer Support Serve as the primary
point of contact for tenants regarding inquiries, service requests,
lease questions, and building procedures. Track, log, and follow up
on maintenance and repair requests to ensure timely completion.
Assist with tenant onboarding, move-ins/move-outs, and
communication of building policies. Administrative & Operational
Support Maintain accurate property files, vendor contracts,
certificates of insurance, and compliance documentation. Prepare
correspondence, memos, notices, and property communication for
management and tenants. Assist in scheduling inspections, site
visits, and preventive maintenance services. Financial & Lease
Administration Process invoices, track expenses, and assist with
monthly financial reporting. Support lease administration,
including abstracting lease terms, updating rent schedules, and
maintaining databases. Assist with annual budgeting activities and
reconciliation processes (e.g., CAM, utilities). Vendor &
Facilities Coordination Liaise with contractors and vendors for
property services, repairs, and scheduled maintenance. Verify
completion of work orders and maintain accurate records of service
logs. Ensure compliance with building safety, security, and
regulatory standards. e Qualifications 2–4 years of administrative
or property management experience preferred. Working knowledge of
property management systems (e.g., Yardi, MRI, AppFolio) preferred.
Strong proficiency in Microsoft Office (Excel, Outlook, Word).
Excellent communication, organizational, and multitasking
abilities. Ability to interact professionally with tenants,
vendors, and internal teams. • Strong verbal and written
communication skills to effectively interact with team members and
external contacts. • Proven ability to multitask and prioritize
tasks in a fast-paced environment. • Demonstrated customer service
and interpersonal skills to build positive working relationships. •
Proficiency in Microsoft Office applications, including Word,
Excel, and PowerPoint. • Experience in maintaining organized
records and handling confidential information responsibly. • High
attention to detail and accuracy in preparing documents and
managing office systems. • Ability to work independently while
managing time efficiently. • Minimum of a high school diploma and
2-5 years of relevant administrative experience.
